SUPPLY, INSTALLATION OF IP-BASED VIDEO-CONFERENCING AND TELE- CONFERENCING FACILITIES
Terms of Reference

GASABO 3D Ltd invites sealed bids from eligible firms for the supply, installation of IP-based video-conferencing and Tele-Conferencing facilities at proposed new GASABO 3D Head Office located at KBC Building 5th Floor)) for its internal video conference calls (via its own WAN) as well as external video conference calls (via the internet). GASABO 3D recommended solution is the LOGITECH RALLY with IMPACT PLUS SERIE PRECISION Screen from CLEVER TOUCH; however, bidders are encouraged to propose the best numbers of cameras and microphones they deem are more suitable to cover its entire board room of the following size: (10x5 meters, which normally accommodate 25 to 40 People).
Prices quoted should be net inclusive of all taxes and delivery costs. The tender must be expressed in Rwandan Francs and shall remain valid for period of (60) days from the closing date of the tender.
We thus request each bidder to submit his/her quotations into one envelop which enclose two separated envelops; technical and financial quotation respectively.

Technical specification consists of clear specifications of quoted items which include Brand, Model and installation plan (Design).

Completed tender documents in plain, sealed envelope clearly marked “TENDER FOR SUPPLY, INSTALLATION OF VIDEO-CONFERENCING AND TELE-CONFERENCING FACILITIES AT GASABO 3D Ltd-- should be deposited at GASABO 3D Head Office located in the BlueStar House, 3rd Floor or mailed to the address below, so as to reach on or before 26th January 2023 at 10:00AM

Duration of the work

This work is highly critical and urgent. It will require to work even in the night shift to be delivered in the period of three days maximum.
Eligible Goods

All goods/equipment-s to be supplied under the contract shall have their origin in eligible source countries.
For purposes of this clause, “origin” means the place where the goods are mined, grown, or produced. Goods are produced when, through manufacturing, processing, or substantial and major assembly of components, a commercially- recognized product results that is substantially different in basic characteristics or in purpose or utility from its components. The origin of goods is distinct from the nationality of the tenderer.
Language of Tender

The tender prepared by the tenderer, as well as all correspondence and documents relating to the tender exchange by the tenderer and shall be written in English language.
Scope of work

The scope of this tender covers the following:
A site survey is scheduled on 24th to the proposed new GASABO 3D Main Board room at (KBC Building 5th Floor) and provide detailed layout design and quotation for the supply and installation of above services

Provide the detailed financial and technical proposal which include the proper layout design to install the above infrastructure.

General Evaluation criteria

The bids shall undergo a general pre-qualification process in order to determine bid compliance to the following mandatory requirements. Tenderers are required to comply to the following requirements, failure to which the firm shall not proceed with the next stage of evaluation:

Terms and condition:

Delivery: shortest delivery period should be considered by bidder and should include guarantees and warranty for the supplied equipment (especially on the supplied equipment like Screen, Cameras and Microphones.)
Duration of the work

Note: The list of equipment to be used during the installation should also include the brand names and model.

NB:
A UPS of 1500 VA should be included to secure the above devices against power fluctuation.

Provide a separate quotation for Logitech Meetup to be installed in the MD-s office (which can accommodate atleast 4 people).
