HOTEL ACCOMODATION & CONFERENCE VENUES
INTRODUCTION/BACKGROUND
The Henry Jackson Foundation Medical Research International (HJFMRI-Tanzania) is an international non-governmental organization working in several countries providing care and treatment to people affected by HIV/AIDS and conducting research studies. HJFMRI-T is funded by the Presidents Emergency Plan for AIDS Relief (PEPFAR) through the U.S Department of Defence. In collaboration with the Ministry of Health, Community Development, Gender, Elderly, and Children (MoHCDGEC), HJFMRI-T has been supporting comprehensive HIV/AIDS care and support program in the Southern Highlands of Tanzania since 2004.
SCOPE
The HJFMRI-Tanzania intends to engage the qualified service providers/contractors for the Provision of Hotel Accommodation and Conference Services for HJFMRI staff members and meeting participants on an "as required basis" in Mbeya, Ruvuma, Rukwa and Katavi.
QUALIFICATION FOR THE ENGAGEMENT
In order to qualify for the engagement interested companies/service provider MUST:
Provide information indicating that they are qualified to perform the required service (provide description of similar assignments, current corporate customers, and financial capability).
The hotel should have excellent and spacious facilities, including breakout rooms for close discussions (where necessary), excellent equipment, and a track-record in providing effective and high-quality rooms, conference, administrative and logistics services.
The service provider/contractor to be engaged will be able to provide hotel accommodation (inclusive of breakfast), conference venue [capable to accommodate 10 to 100 participants], LCD projector, PA system [where applicable], microphone, podium, registration desk, etc.
The hotel should be in a location with good transport links available. However, it should be less than 8km from the city/town centre.
Ability to offer credit facility [payment after service delivery]
Submit the price list for hotel accommodation (on BB basis) for various room, types and conference venues [e.g. 10 to 30 participants, 10 to 50 participants, and 10 to 100 participants.
Provide evidence of registration with relevant regulatory authorities in Tanzania i.e. BRELA. This involves submission of Valid Business License, DUNS number (where applicable), and certificate of Incorporation.
Provide tax clearance certification from Tanzania Revenue Authority (TRA)
Company profile including registered physical address, phone, fax numbers, contact persons and email address.
