Supply of Services for Document Conversion to Digital Format of Audited Financial Statement and General Information Sheets

The proposed outsourcing project will handle the provision of manpower and workstations as well as conversion to digital format of AFS/GIS and other pertinent documents received during the peak period.



A. ESTIMATED VOLUME:



Data from the SEC Iview Facility showed that an estimated 4, 000, 000 pages would compose the volume of documents for conversion.



B. Resources to be provided should include the following:



Provision of Manpower, Workstations and printers, which will be used during the receiving of documents. Because of the increased projected volume and the recommended set-up, the service provider may be required to provide a minimum of two (2) scanners, two (2) printers, ten (10) Workstations that are compatible with our existing facility both in SEC Iview and Computer Assisted Paper Submission and the corresponding Data Encoders per WS (1:1). Service provider shall provide 2 IT personnel to ICTD to assist in the uploading of digitized document to SEC iView Facility/iView Back-up and to assure SEC that all converted documents are delivered for the week and uploaded within the same week.



C. Indexing of Fields for efficient retrieval. The indexing fields are: SEC Number, Company Name, Form Type, Period Date, CD Number, Roll Number, Blip Number, Start to End pages, Number of pages. However, under Exception Handling, the Number of Index Fields may increase with the inclusion of Remarks (reason for the inclusion in the exceptional log).



D. Other supplies and consumables needed such as batch control sheets, compact disks, toner etc.
