WARRANTY

a. The bidder shall provide thirty-six (36) months warranty on the IP-PABX System and all associated equipment from the successful commissioning against any defects. This includes parts, labor and software upgrade and its installation, if any. The warranty period for the hardware supplied shall commence upon acceptance. A comprehensive maintenance program for the first three (3) year period shall be included in the proposal.

b. The comprehensive maintenance shall include replacements of parts. The vendor shall ensure continuous inventory of all critical parts of the equipment.

c. The bidder must ensure that PNOC shall be given the following:

-c Free firmware updates, software patches, and driver updates in CD or via websites;

-c Free parts replacement for the duration of warranty period;

-c Free preventive maintenance for at least twice a year during the warranty period; and

-c Free configuration assistance on product/s (on-site or remote) for the duration of warranty period.

BIDDER-S SUPPORT SERVICES

The bidder shall be required to provide the following:

A. Project Management:

The Project management team that will handle the following:

a. Planning, design, delivery, installation, testing, commissioning, training and maintenance of the IP PABX devices and peripherals that will work in parallel with PNOC.

b. Ensure that the project is completed within the agreed scope, budget and schedule;

c. Ensure that the proposed system will interoperate with existing cabling system;

d. All issues/problems and correspondence must be documented, and discussed with PNOC including the proposed solutions; and

e. Provide intensive training with complete documentation to maximize the use of the available features of the system.

B. INSTALLATION AND TESTING:

a. The bidder shall be responsible for the installation and testing of the proposed system within seven (7) calendar days upon delivery.

b. The bidder shall conduct intensive testing of the equipment to achieve the optimum benefits and functionality of the new devices. They must provide PNOC with the actual results of testing on the installed components.

C. MAINTENANCE AND TECHNICAL SUPPORT:

a. The bidder must have remote support services to support PNOC on the system administration monitoring, maintenance, and repair operations. They must have hardware and software solutions housed at the facilities, and highly technical support engineers available on call for at least 8:00am to 6:00 pm daily from Mondays to Fridays.

b. During the warranty period, the bidder shall provide highly technical personnel to service the IP PABX System and all of its peripherals/components (i.e. hardware, software, etc) free of charge.

c. One (1) hour response time from receipt of call shall be provided (through telephone call). In case where the problem cannot be resolved via telephone call, on-site support must be provided and must have a response time of not more than four (4) hours.

d. The bidder must submit the list of technical support engineers. The list must include their work experience on IP PABX System and training certificates/certifications.

e. Hardware repair and testing must be done on-site. All components beyond repair shall be replaced within the day at no cost to PNOC within the warranty period. Should the problem will not be resolved within four (4) hours, the bidder must provide service unit/parts for temporary replacement.

D. DOCUMENTATION

The bidder must provide PNOC with the user and system manuals, and technical materials, if any. Complete documentation of software and licenses, utility and recovery CDs must also be provided including the inventory of IP PABX systems- component and serial numbers.
