records scanning and digitization services
summary details:
bc assessment requires the services of a professional scanning company to securely scan and digitize large volumes of documents in mixed sizes (standard to large sizes) and formats (microfiche to large maps) for any or all of our 15 offices located throughout the province of british columbia. the digitized information is required to be organized in a format as specified by bc assessment and transferred to bc assessment electronically.
bc assessment is also interested in the proponent's ability to store documents until a quality review of electronic files has been conducted (up to one month) and then securely destruct (shred) documents upon bc assessment's approval.
bc assessment anticipates entering into a one-year contract with the successful proponent with three 1-year options to renew on substantially the same terms and conditions, at bc assessment's sole discretion. the contract will outline specific deliverables and performance criteria that must be met in order for a subsequent contract to be negotiated.
note: bc assessment anticipates awarding to a single proponent, however wishes to maintain a shortlist of the highest scoring proponents in order to have the ability to split work amongst multiple vendors, including the selected proponent during periods of significant volume should the selected proponent not have the capacity to meet bc assessment timelines for completion.
