Request for Proposal No. 2025-104
For: FLEET MANAGEMENT INFORMATION SYSTEM SOFTWARE & IMPLEMENTATION
The County is requesting Proposals for the purchase and implementation of an off-the-shelf Fleet Management Information System (FMIS) to enhance its Fleet Management operations and decision making. The desired system should be a flexible "bolt-on" tool capable of tracking, reporting, and data analysis, with a goal to identify and manage key performance indicators (KPI) and improve overall fleet management processes.
As a mature fleet operation, the County team has accumulated extensive fleet data in our existing SAP S4HANA database that sends or receives data either automatically or manually from various other systems such as our fuel, AVL and existing ticket system which we would aim to integrate with any new FMIS.
Therefore, any new system must:
Currently integrate with SAP S4HANAEasily integrate with other existing County Fleet systems, such as Acetech AVL, Geotab, Profuel, Simcom, SRS Ivanti Neurons or other systems. Be a cost-competitive solution within the market space for a medium-sized fleet that can be purchased and implemented within the proposed budget amount of approximately $500, 000 including taxes and contingency. Have been successfully deployed within the past three (3) years in a comparable SAP S4HANA integrated environment, and that the reference clients provided by Proponents will give positive feedback and information to the County of Simcoe Fleet and Asset and Information Technology teams, that will be utilized in the decision-making process. Proponents having a solution that will meet the minimum requirements as described above and that will meet the County-s broader needs and objectives are invited to submit a Proposal.
