Tenders are invited for Electronic Police Evidence and Property Management System

The selected electronic evidence and property management system must automate the entry, intake, storage assignment, disposition and chain of custody tracking, audit and inventory tracking, and disposal documentation of evidence and property items placed in agency custody through a customizable user interface

1. The user interface must allow for customization of field parameters, including field placement, coding, text string, date, time, required fields, and checkbox options.

- The system must allow the agency to determine the number of user groups and define their permissions.

2. The agency must be able to make changes to the user interface screen in-house without seeking permission from the software vendor or incurring an additional cost.

3. Sensitive records can be locked down for viewing only by users with certain permissions.

4. The system allows for bulk or batch updating and transferring of items to a new storage location to include “pending destruction” and “destroyed”.

5. Data entry (including searching, scanning barcodes, and releasing items are done from the same screen.

6. Utilizes barcode technology.

7. Barcode numbers are assigned to evidence in sequential order and are unique to each item.

8. The system generates and assigns sequential barcode numbers for records such as storage locations, people, boxes, and statuses that are unique and will never be repeated.
