Tender Details

The Foreign Policy Institute organizes an international conference every year, which brings together foreign and security policy experts, decision-makers and influencers from Finland and abroad. The procured service covers event-related facility services, catering and speaker accommodation. The procurement concerns the events of 2026, 2027 and 2028. An actual agreement will be made for the 2026 event. The years 2027 and 2028 are option years, for which a separate procurement decision is made each year. Events dates: 2026: Thu 1 - Sun 4 October 2026 2027: Thu 30.9. - Sun 3 October 2027 (option) 2028: Thu 28.9. - Sun 1 October 2028 (option) The event premises must be located in or near the center of Helsinki and be connected to a hotel where the participants are staying possible to stay during the conference. The facilities must be suitable for the nature of the event, supporting its atmosphere, program structure, technical implementation and participant experience. Premises used for meetings and catering must be for private use by the customer. It is estimated that a maximum of around 300 people will be present at the same time. Necessary event spaces: - High-class and impressive uniform conference room, with cabaret-style furnishing possible for at least 200 and 100 additional seats rows of chairs - At least 9 meeting rooms in the immediate vicinity of the conference room as follows: - 3 halls as parallel rooms (approx. 50 people/room) - 3 meeting rooms (approx. 10 people/room) - 1 media workspace (approx. 20 people/space) - 1 ty...
