Introduction:
The Lebanon Export Academy (LEA) is a driving force behind the growth and empowerment of Small and Medium-sized Enterprises (SMEs) through comprehensive training initiatives. Recognizing the significance of seamless learning experiences, LEA has established a robust Learning Management System (LMS) to cater to diverse training methodologies and equip participants with essential skills.
Objective:
The primary objective of this engagement is to procure the expertise required for an assessment and advisory role concerning the enhancement of the existing Learning Management System (LMS) operated by the Lebanon Export Academy (LEA) _www.lebanonexportacademy.com_. The appointed expert will thoroughly assess the LMS functionalities, both technical and non-technical, and provide detailed recommendations for its optimal functioning.
Scope of Work:
The scope of work entails a comprehensive evaluation of the LMS's technical aspects, including Information Technology (IT), User Experience (Ux), User Interface (UI), Hosting, and Domain. Additionally, the assessment will encompass non-technical facets such as feature assessment and reporting capabilities. The expert shall identify strengths, vulnerabilities, and opportunities for improvement, ensuring that the LMS aligns with LEA's objectives. The expert shall explicitly emphasize that the role focuses on assessment and advisory services, rather than direct implementation.
Technical Assessment:
Evaluate the current IT infrastructure for compatibility, stability, and security.
Inventory Assessment:
Create a comprehensive inventory of all hardware and software components within the existing IT infrastructure.
Document specifications, versions, and configurations of servers, workstations, networking equipment, and software applications.
Compatibility Analysis:
Analyze the compatibility of current hardware and software with industry standards and best practices.
Stability Testing:
Conduct performance tests to assess the stability of servers, networks, and applications under different load conditions.
Identify bottlenecks, resource constraints, and potential areas of instability.
Security Assessment:
Perform a thorough security assessment of the infrastructure to identify vulnerabilities, weaknesses, and potential entry points for cyber threats.
Risk Analysis:
Evaluate the potential risks associated with the current IT infrastructure, considering factors such as data loss, system downtime, and unauthorized access.
Network Topology Review:
Assess the network topology and architecture for scalability, efficiency, and redundancy.
Recommend improvements to enhance network performance and resilience.
Software Security Review:
Analyze the security features of software applications, including data encryption, user authentication, and access controls.
Suggest enhancements to mitigate security risks.
Patch and Update Evaluation:
Review the current patch management process and assess the currency of operating systems, applications, and security updates.
Provide recommendations for a proactive patch management strategy.
Documentation and Reporting:
Document findings, recommendations, and assessments in a detailed report.
Present the report to stakeholders, highlighting critical issues and proposing actionable steps to address identified shortcomings.
Vendor Assessment:
Evaluate the current relationships with third-party vendor (KASHIDA) providing IT services or solutions.
Future Readiness Analysis:
Consider the scalability and adaptability of the current infrastructure to accommodate future growth and technological advancements.
Provide insights into potential upgrades or changes required to align with long-term organizational goals.
Analyze the User Experience (Ux) to ensure intuitive navigation and ease of use.
User Persona Creation:
Identify and create user personas representing different segments of the target audience.
Usability Testing:
Plan and conduct usability testing sessions with representative users to assess the current user interface.
Identify pain points, usability issues, and areas requiring improvement.
Navigation Flow Analysis:
Map out the navigation flow of the software/application to understand user pathways.
Identify potential bottlenecks, confusing navigation points, or unnecessary steps.
User Interface (UI) Evaluation:
Evaluate the visual design, layout, and consistency of UI elements.
Ensure that UI components are aligned with established design principles and branding guidelines.
Accessibility Assessment:
Analyze the application's accessibility for users with disabilities, ensuring compliance with accessibility standards (e.g., WCAG).
Identify areas where enhancements are needed to improve inclusivity.
Information Architecture Review:
Assess the organization and structure of content and information within the application.
Propose adjustments to optimize content categorization and hierarchy.
Task Workflow Analysis:
Analyze typical user workflows and tasks within the application.
Identify opportunities to streamline processes and reduce the number of steps required to complete tasks.
User Feedback Incorporation:
Review existing user feedback, comments, and suggestions related to the application's usability.
Integrate actionable insights from user feedback into the Ux improvements.
User Journey Mapping:
Map out user journeys to visualize the end-to-end experience of using the application.
Identify pain points and areas where users might become disengaged or confused.
Final Recommendations:
Compile a comprehensive report with findings and recommendations for improving Ux.
Assess the User Interface (UI) design for aesthetics and user-friendliness.
Visual Design Evaluation:
Review the visual elements of the UI design, including color schemes, typography, icons, and images.
Assess how well the design aligns with the brand identity and overall visual appeal.
Consistency Check:
Evaluate the consistency of UI elements throughout the application.
User-Friendly Navigation Review:
Assess the navigation menu and its organization for ease of use. Verify that users can navigate the application seamlessly.
Final Recommendations and Mockups:
Compile a report summarizing the design assessment findings and recommendations.
Provide mockups or visual representations illustrating proposed design enhancements.
Review hosting arrangements and recommend any necessary adjustments.
Evaluate the domain setup for optimal online accessibility.
Non-Technical Assessment:
Thoroughly examine existing features and functionalities.
Evaluate the reporting capabilities, assessing accuracy and comprehensiveness.
Recommendations:
Provide detailed recommendations for improvements in technical aspects.
Suggest enhancements for user experience and interface design.
Propose adjustments in hosting and domain management.
Offer insights on optimizing features and reporting mechanisms.
Deliverables:
A comprehensive assessment report detailing strengths, weaknesses, opportunities, and threats.
A set of well-articulated recommendations for technical and non-technical enhancements.
A document aligning the expert's report with the original scope of work, accompanied by a comprehensive quotation that incorporates the suggested adjustments.
Timeline:
The assessment and report generation are expected to be completed by the end of September.
Budget:
Kindly provide a comprehensive budget proposal that accounts for the assessment and advisory services as outlined in this TOR.
Note:
The expert shall collaborate closely with the LEA team to ensure clarity in communication and understanding of expectations. This engagement exclusively focuses on assessment and advisory services, highlighting the need for an independent third-party evaluation. Any deviations from this TOR shall be discussed and agreed upon mutually.
Timeline and Application
The selected Consultant is expected to start his/her activities during the first week of September and submit by the end of September.
Candidates should submit the following documents:
Technical proposal (maximum two pages) describing the methodology to conduct the work based on the content above sections.
Financial proposal clearly describing the package and price proposed by the consultant.
Profile and project references (maximum two pages): A brief explanation of the consultant(s) background should be submitted (CVs shall be included as annex) along with project references on the topic.
