Tenders are invited for Provide Transport Services.

The British High Commission in Rwanda is responsible for developing and maintaining relations between the UK and Rwanda.

1.INTRODUCTION

The British High Commission Kigali has identified the need to hire a professional and suitable company that can undertake transport services. Therefore, the British High Commission would like to invite interested companies to submit their bids for transport services.

TORs to provide Transport Services to British High Commission.

The purpose of this contract is to provide Transport Services to British High Commission and DFID.

The service provider/transport firm should be fully qualified and registered to undertake transport services within the territory of Rwanda.
He shall perform the Services in the manner of exercising that degree of skill, care, diligence, which would reasonably and ordinarily be expected from a skilled and experienced person engaged in providing transport services.
Shall provide transport services mainly out of working hours including weekends for Airport Run (picking and dropping staff and diplomats).
Shall provide Transport for staff who are on duty over the weekends or outside of office hours
Also occasionally, to take staff on filed visit outside Kigali
Any other time we may need transport services and in case of emergency
The service provider shall provide list and telephone number of drivers dedicated to British High Commission and DFID
The service provider should have a fleet of different type of vehicles that are in very good condition: (Jeep, Saloon, Van, etc.).
The service provider will agree to submit invoices at the end of each month with all supporting document and form showing where a staff/ passenger signed.
Having a POS machine to facilitate payment by Master card will be an advantage.
The service provider shall comply with all safety, health and welfare regulations for and will ensure the vehicle that transports our staff has a complete First Aid Kit.

REQUIREMENTS FOR THE BIDDER

In order to qualify for the tender the bidder should fulfill the following requirements:

Being a professional in transport services to high standards.
Having undertaken similar works previously with proof documents.
Having competent and skilled personnel.
Having been registered in RDB as a professional in transport services.
Be aware of fire and first aid procedures, precautions and equipment
Be aware of the accident and incident reporting procedures
DOCUMENTS TO SUBMIT BY THE BIDDER

The following documents must be submitted in the bid:

Letter of application
Detailed company profile
Proof of experience in transport service for previous and/or current works.
Certificate of registration in RDB.
A list of drivers to be used (subject to verification).
List of vehicles to be used (subject to verification).
SUBMISSION DEADLINE OF BIDS

Bidders are requested to submit their bids not later than Friday 10th August 2018 and late submissions will be rejected.
Expression of interest should clearly be marked “Bid document : ‘’TRANSPORT SERVICES” and Sealed envelopes will be submitted in the tender box at the British High Commission Kigali, Kacyiru, Boulevard de L’Umuganda road, opposite Umubano Hotel during working hours: 8:00-17:00; deadline is Friday 10thAugust 2018 at 12 noon
THE BRITISH HIGH COMMISSION RESERVES THE RIGHT TO REJECT OR CANCEL ANY OR ALL BIDS, TO WAIVE ANY FORMALITY THEREIN, AND TO ACCEPT BIDS AS MAY BE CONSIDERED MOST ADVANTAGEOUS TO THE BHC.
