Tenders are invited for Senegal: Logistics and Administration Assistant USAID Senegal Monitoring & Evaluation Project, Dakar, Senegal.

The four-year USAID Senegal Monitoring and Evaluation Project (MEP Senegal) provides USAID / Senegal with performance measurement and management support, including, but not limited to, evaluation and evaluation design, evaluation evaluation design and implementation, impact evaluation design and implementation, sectoral assessments, surveys, activity / project design, target setting, and statement of work (SOW). This contract seeks to improve performance management at all levels to help the Mission meet Agency requirements, make better informed strategic and management decisions, and advance Agency learning.

Please note: Only Senegalese citizens are eligible for this position.

Position Summary:
The person will be hired for this position and will serve as administrative assistant, logistics and receptionist. He / she will maintain the office in an efficient manner, manage supplies, assist and coordinate meetings and workshops.

Responsibilities:
Coordinate the logistics of the office with projectors and fieldwork in the country and in the subregions. Keeping records of all missions; vehicle mileage records
Maintain appointment calendars with regular follow-ups to confirm receipt of official correspondence, reservations, and other communications; schedule appointments.
Organize and arrange local services for consultants and staff;
Answer the front desk phone, welcome and direct all visitors
Manage petty cash under the supervision of Finance Manager
Arrange and track the movements of project vehicles
Management of incoming and outgoing mail
Photocopy / Administrative Scan and Financial Documents under FLA Supervision
Place and track office supply orders and stockings, supply of supplies for workshops, trainings and missions. Ensure a sufficient supply of printing paper, cartridge, cleaning products)
Organize travel of staff / consultants
Monitors and controls the performance of maintenance contracts for the equipment of the office.
Manage the office check-in / check-out spreadsheets
Other, as determined by the Project Manager and Director of Finance and Administration

Responsibilities:

Coordinate the logistics of the office with project drivers and vehicle rental companies during fieldwork in the country and in the sub-region, including keeping a record of journeys; check their mileage record;
Keep the register of appointments with regular follow-up to confirm receipt of official correspondence, reservations, and other communications; schedule appointments
Arrange hotel reservations and travel of teams of consultants and staff;
Support the supply of office supplies (eg for workshops, trainings) and ensure a sufficient supply of paper, cartridge, cleaning products, etc.);
Welcome and take care of all visitors; answer the phone ;
Manage petty cash under the supervision of Finance Logistique Manager
Arrange and track the movements of project vehicles
Management of incoming and outgoing mail
Photocopy administrative and financial documents under FLA supervision
Track orders placed with suppliers: quotes, contracts, delivery notes, invoices and payments
