Implementation and support of an EDI platform for the electronic exchange of e-procure and e-invoice documents from the supplier and non-patient bound debtors with the ERP system (SAP) of the UZ.Gent.

Ghent University Hospital (UZ Gent) is one of the largest health facilities in Flanders with more than 6, 000 employees and with a recognitiong for more than 1, 000 beds. The core tasks are patient care, education, scientific research and services. In 2009, UZ Gent decided to proceed with the purchase and implementation of SAP as an ERP package in order to be able to further modernize its business-economic operation. On 1.1.2012 the first phase of this project went live. This phase largely involved the financesindividual processes, together with the interfacing to various other applications of the UZ. On 1.3.2015 the second phase of the project went live, ie the use of SAP for stock management, warehouse operation and purchase.

The Flemish Government decided on 16.12.2016 that electronic invoicing is mandatory for all public contracts launched from 1.1.2017 . Some micro-enterprises, met invoices under EUR 8 500 can use a postponement until 1.1.2018

The Ghent University Hospital (hereafter referred to as UZ Gent) wishes to join an EDI platform in order to exchange electronic documents with his suppliers.

The platform should enable UZ Gent to easily and quickly exchange e-catalogs, place purchase orders, orderreceive confirmations, exchange goods receipts and electronic invoices between the many suppliers and the SAP ERP package from UZ Gent.

UZ Gent also wishes to send outgoing sales invoices via this platform to other companies and organizations according to the Open Peppol format the Flemish Government is proposed.

The platform also guarantees the legal storageof the documents exchanged in accordance with the Belgian legislation in force.

In addition to the technical setup, the partner must facilitate the duration of the contract with UZ Gent in order to connect the existing and new suppliers to the platform as much as possible and the electronic document exchange to set up between UZ Gent and the supplier.

Duration: Linking the differencesand the UZGent suppliers to this EDI platform to automate the processing of documents will be a long process. For this reason, it is opted for a term of 1 5 x 1 year transferable.
